Description

ESSENTIAL FUNCTIONS

Establish and direct the implementation of written policies and procedures that reflect the goals and objectives of the facility. (Includes personnel policies, procedure manuals, position descriptions, etc.)

Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the facility, to assure that administrative services and activities can be properly maintained to meet the needs of the facility.

Assure that all office personnel follow established policies and procedures.

Recruit, select and train competent administrative personnel.

Receive advice from department supervisors concerning their administrative needs, and other related areas, to assist in eliminating/correcting problem areas, and/or improvement of services.

Review and monitor competence of administrative workforce and recommend adjustments/corrections as required or that may become necessary.

Accumulate, maintain, and provide statistics as directed.

Assist in the establishment and maintenance of an adequate filing system. .

Issue accounts payable checks weekly and close accounts payable monthly as outlined in the policies and procedures. Maintain file on purchase orders, invoices, paid vouchers, canceled checks, etc. Prepare/calculate time-cards and prepare/distribute payroll checks. Prepare reports for deductions, calculate earnings and deductions, and submit reports/funds to proper agencies. Maintain files on group health, dental, and insurance records, ensure timely and accurate payment. Record vacation, holiday, sick leave, leave of absence, authorized overtime, etc., on employee record as required.

Maintain employee personal files, including I-9 book, as required. Maintain computerized payroll system for all employees. File Cobra notices according to federal regulations and policy. Ensure timely filing of FMLA paperwork and ensure compliance with federal guidelines.
